The Central Oregon Trail Alliance is growing, and we're looking for another exceptional person to join our team.

We're hiring a Membership Program Officer, a full-time position that will lead and grow the membership program.This is a unique opportunity to combine fundraising, community building, marketing, and relationship management in service of something tangible: the trails we all love.

Working closely with COTA's Development Director, the Membership Program Officer will help connect people to our mission through membership campaigns, donor stewardship, community partnerships, volunteer leadership, and data-driven fundraising strategies.

We're looking for someone who is organized, collaborative, curious, and excited about bringing people together around a shared passion for trails and outdoor recreation.

Position Details:
• Full-time, hybrid position based in Bend, Oregon
• Starting salary: $68,000–$72,000 plus benefits

Job Description

Position Summary
The Membership Program Officer leads and grows COTA’s membership program as a core component of the organization’s fundraising strategy. As a membership-based 501(c)(3) nonprofit, 65% of COTA’s annual revenue comes directly from members. This role oversees the systems, campaigns, partnerships, and reporting that drive member acquisition,
retention, and long-term engagement, while helping build a strong pipeline of future donors and major supporters.

Working closely with the Development Director, this position combines data management, campaign execution, marketing, donor stewardship, and community relationship building. The ideal candidate is highly organized, detail-oriented, and energized by connecting people to a mission they care about. They are comfortable managing digital systems
independently while also thriving in a collaborative, fast-paced team environment.

Key Responsibilities
The following provides an overview of key responsibilities. This is a dynamic, fast growing nonprofit environment, and duties may evolve over time.

Membership Program Management (60%)
Manage COTA’s membership program, ensuring strong systems, accurate data, consistent
growth, and a high-quality member experience.
● Program Administration
○ Oversee the administration and optimization of COTA’s membership
database (Neon One), ensuring data accuracy and operational efficiency.
○ Maintain accurate membership records through proactive account
management, transaction reconciliation, and database quality control.
○ Analyze and report on membership trends and performance metrics,
including acquisition, retention, engagement, and lifetime value.

○ Steward COTA’s membership program budget and work closely with the
Executive Director to assess funding needs and program growth

● Membership Campaigns
○ Collaborate with the Development Director to plan and execute the annual
Spring Membership Drive and Expired Member Campaign

● Board & Committee Leadership
○ Lead the Membership Committee, aligning volunteer efforts with
development goals and driving progress toward membership growth targets
■ Manage monthly membership mailings:
● Design and produce annual membership cards and stickers
● Maintain appropriate inventory of mailing supplies
● Coordinate volunteers to execute monthly mailings

○ Lead the Advocacy, Collaboration, and Education Committee (ACE) providing
budget management and strategic support for volunteers

● Community Partnerships
○ Lead COTA’s Community Partnership Program:
■ Build and maintain relationships with 10+ local shops and outfitters
annually to support membership growth and rider education

Donor Pipeline Development (15%)
Support COTA’s broader fundraising strategy by identifying and qualifying future donors:
● Identify high-potential members for deeper engagement and major gift cultivation
● Work with the Development Director to transition members to the donor pipeline
● Support the major donor program as needed
Marketing (15%)
● Manage COTA’s online blog and news presence on the website as a component of
our SEO marketing strategy
● Work closely with volunteers to run our Google Ad Grant as a component of our
digital marketing program
● Provide leadership and strategy for volunteers executing COTA’s social media
content
Administrative Support (10%)
Support the effectiveness of COTA's membership and fundraising programs by
maintaining key operational systems, resources, and administrative processes.
Responsibilities include:
● Support gift processing, donor acknowledgment, and other administrative
functions
● Maintain inventories of membership, outreach, and marketing materials

● Assist with mail processing, record management, and other administrative
functions as needed.

Required Skills & Experience
● 3–5+ years of professional experience in at least one of the following areas: nonprofit fundraising, membership programs, marketing operations, CRM/database administration, customer relationship management, or a related field
● Demonstrated experience managing databases or CRM systems with a high degree of accuracy and attention to detail
● Experience planning and executing campaigns, projects, or operational workflows with measurable outcomes and deadlines
● Strong organizational and project management skills, with the ability to manage multiple priorities in a fast-paced environment
● Ability to analyze data, track performance metrics, and translate insights into clear recommendations and action steps
● Excellent written and verbal communication skills, including the ability to write clear, engaging, and mission-aligned content
● Strong interpersonal and relationship-building skills, with the ability to work effectively with members, volunteers, business partners, donors, and community stakeholders
● Self-directed, highly accountable, and comfortable working both independently and collaboratively within a small team environment
● Ability to occasionally work evenings or weekends
● Reliable transportation for local travel across Central Oregon

Preferred Qualifications
● Bachelor’s degree in nonprofit management, communications, marketing, business administration, public relations, recreation management, or a related field; equivalent professional experience will also be considered
● Experience working in a nonprofit or membership-based organization
● Experience using Neon CRM or similar donor/membership CRM systems
● Familiarity with email marketing platforms, and audience segmentation,
● Experience supporting or coordinating volunteers, committees, or community partnerships
● Experience with basic website content management and SEO-focused content publishing
● Familiarity with social media strategy, digital advertising, or Google Ad Grants
● Experience working in outdoor recreation, trail stewardship, cycling, environmental nonprofits, or community-based organizations
● Personal connection to trail-based recreation. You don’t need to be a pro-mountain biker, but ideally, you have firsthand experience with trails.
