Client Experience & Delivery Manager
We're seeking a Client Experience & Delivery Manager to help bridge client relationships, project execution, and internal team coordination to ensure projects are delivered on time, on budget, and beyond expectations. The ideal candidate is deeply passionate about the outdoors and can articulate bold visions to clients in a way that inspires them to create extraordinary places. They don't just manage projects; they help clients see what's possible.

This person must be bilingual in the languages of client and designer. They translate complex design concepts into clear, relatable terms for clients, and turn client goals and feedback into actionable direction for the creative team. They read the room, know when to speak in layman's terms versus technical terms, and manage diverse personalities and tight schedules without bruising egos or burning bridges.

While not a full designer, this person should be comfortable drafting basic visuals and storyboards, whether through sketching or software, to help dial in client needs and communicate early concepts without pulling the design team into every exploratory conversation.

This role is data-driven. They ensure schedules are realistic, tasks across projects are layered correctly, and appropriate time allocations are defined for each phase of work. They keep the team on budget for billable hours, monitor utilization goals, and guard against unbillable scope creep. If something is drifting, they catch it early and course-correct before it becomes a problem.

Above all, this role exists to protect designer time and productivity. This person is not a pass-through for client comments. They weed through the bloat in conversations, filter out the noise, and distill feedback into only refined, scoped tasks. They shield the design team from unnecessary meetings, ambiguous direction, and open-ended conversations that drain creative energy. The client should always feel heard and up to date, but never at the expense of the team's focus. This is the most important function of the role.

Key Responsibilities
Client Experience
Serve as the primary point of contact for clients throughout the project lifecycle
Build strong, trusted relationships with municipal, nonprofit, and private-sector partners
Lead regular client check-ins and project update meetings
Ensure clients clearly understand project milestones, timelines, and deliverables
Anticipate client needs and proactively solve challenges
Confidently identify opportunities to up-sell clients on additional services
Navigate pricing discussions, budget increases, and contract changes associated with expanded scope
Manage bi-weekly invoicing and ensure billing aligns with delivered work
Stakeholder Engagement & Public Input
Attend and lead public input events, municipal planning meetings, and stakeholder sessions in person
Communicate project goals clearly to diverse audiences and gather input that shapes design direction
Plan and manage online surveys to collect community feedback
Synthesize public input into actionable takeaways for the design team
Represent the firm professionally in public-facing settings and build community trust
Project Delivery
Oversee project execution from kickoff through final deliverables
Coordinate internal teams to ensure projects stay on schedule and within scope
Track project timelines, deliverables, and client commitments
Ensure all deliverables meet firm quality standards and are clearly communicated
Manage revisions and client feedback throughout the planning process
Project Management & Scheduling
Build and maintain ClickUp projects and tasks as outlined in contract scopes
Create and manage client-facing Gantt charts for individual projects
Maintain team-wide Gantt charts for internal workload monitoring and scheduling
Review team hours against task allocations on a weekly basis
Coordinate invoicing with the Operations Specialist bi-weekly
Ensure task layering across projects is realistic and accounts for team capacity
Internal Coordination
Work closely with planners, designers, and leadership to align project priorities
Translate client goals into clear internal project direction
Identify potential risks, scope changes, or scheduling challenges early
Support efficient workflows and strong team communication
Coordinate with outside firms and consultants on collaborative projects, particularly engineers, to align timelines, deliverables, and scope across teams
Quality & Deliverables
Review reports, plans, presentations, and client materials before delivery
Ensure deliverables are clear, actionable, and aligned with project goals
Maintain consistent standards for client-facing materials
Continuous Improvement
Gather client feedback and identify opportunities to improve processes
Help refine project delivery systems and client communication practices
Support development of internal best practices for project management and client service
Qualifications
Education
Relevant experience is preferred over a degree. 5+ years of hands-on experience in project management, client services, or a related field is sufficient.

If degreed: Business Administration, Construction Management, Public Administration/Policy, Operations Management, Urban or Regional Planning, Landscape Architecture, or a related field

Required
5+ years of experience in project management, planning, consulting, or client services
Experience managing complex projects with multiple stakeholders
Strong communication and relationship-building skills
Excellent organizational and project management abilities
Ability to manage multiple projects simultaneously
Comfort working with public-sector clients such as municipalities, counties, or agencies
Preferred
Experience in parks, trails, recreation, community planning, or landscape architecture
Familiarity with planning processes such as master plans, feasibility studies, or public engagement
Experience preparing professional reports and presentations
Background in consulting, planning, or design services
Software Proficiencies

Google Workspace (Docs, Sheets, Slides, Drive)
Adobe Creative Suite (InDesign, Illustrator, Photoshop, Acrobat)
Preferred: Experience with ClickUp, Monday, Basecamp, Asana, or similar project management software
Bonus: ArcGIS, QGIS, AutoCAD, SketchUp
